Community Roots Counseling is a growing group private practice seeking a reliable, organized, and compassionate Administrative Assistant / Clinic Coordinator to support the daily operations of our practice.
This is a part-time, hybrid position, with the majority of work completed remotely and the potential for some in-person support as the role grows. We are looking for someone who values meaningful work, clear systems, and a supportive team environment.
Our administrative team is the backbone of our practice—you help keep everything running smoothly so our clinicians can focus on what they do best. We believe this role matters, and we work hard to make sure our staff feel supported and valued.

What You’ll Do
Administrative & Client Support
Support client scheduling, billing-related tasks, and administrative workflows
Serve as a professional and compassionate point of contact via email and internal systems
Assist with intake paperwork, consent forms, and secure document management
Process payments and follow up on outstanding balances as needed
Practice Coordination
Maintain organized records and accurate documentation
Support medical billing team and claims follow-up (training provided as needed)
Create and update internal systems, workflows, and documentation
(All materials created are considered company property)
Operations Support
Help maintain smooth internal processes so clinicians and clients are well supported
Communicate clearly with the practice owner regarding tasks, priorities, and timelines
Work independently while staying aligned with practice needs

Qualifications
Prior experience in an administrative, medical office, or client-facing support role preferred
Experience with medical billing or insurance processes is a plus (but not required)
Strong written communication and organizational skills
Comfortable using technology platforms such as:
Google Workspace (Gmail, Docs, Drive)
Practice management or scheduling software
Schedule & Expectations
Part-time, hybrid position (primarily remote with some in-person support as needed)
Hours and schedule discussed based on availability and practice needs
Consistent, dependable availability is essential
